How to Stay Connected With Coworkers When Traveling

Do you travel regularly? Are you always worried about the steps you can take to stay connected with coworkers while you are on the road? Has this caused you problems in the past?

There used to be a time when staying connected was a problem. This was before the days of the internet, smartphones, and advanced technology in general.

In today’s day and age, it’s easier than ever to stay connected with coworkers when traveling. Sure, you may run into some challenges every now and again, but it’s nothing you can’t overcome with the right approach.

Imagine this: you are visiting New York and realize that you are missing a big meeting back at the office. Rather than feel left out, you can use technology to stay connected.

Let’s take a look at some of the better ways to stay in touch with coworkers when traveling:

  1. Calls and Emails From Your Smartphone

As long as you have your smartphone in hand, you know that you can call a coworker at any time.

While there is no guarantee the other person will answer the phone, you know that you have a way of getting in touch.

The same holds true with email, especially if you have this setup on your phone. For example, you could email a coworker about a Facebook ads guide that you created. From there, he or she can review and send back to you. This can all happen without ever seeing each other in person.

If you’re going to be on the road, you need to take your smartphone along for the ride.

  1. Instant Messaging

There is nothing better than using a fast and efficient instant messaging application, as this can keep you in touch with your coworkers at all times.

The nice thing about this is that communication is instant, much the same as text messaging. Even better is the fact that you can join in with more than one person, thanks to the use of a group chat.

The only downfall of an instant messenger is that it’s easy to get off track. One second you’re talking about work, but the next you’re giving a rundown on the custom bridesmaid dress you just purchased.

  1. Video Chat

There are many applications, such as Skype, that make it simple to conduct video calls.

You don’t always want to see the person you are speaking with, but it’s nice to know that you can do this if necessary.

If you plan on using video chat technology from the road, make sure you have everything in order before you leave. This means choosing an application, making sure your co workers have access to the same program, and taking along the necessary device.

  1. Fax

Yes, this is “old school” in many ways. However, there could come a time when you need to send a fax.

If you think this may be something you need to do, choose a hotel with a business center equipped with at least one fax machine.

Tip: Since fax machines are phasing out, don’t assume that the hotel you are staying at will be able to provide access. You need to check on this in advance, or you could find yourself disappointed (and scrambling) upon arrival.

Conclusion

These are just a few of the many ways to stay connected with coworkers when traveling. It doesn’t matter if you are away from the office for business or pleasure, you know that there will be times when you need to communicate with others.

The most important thing you can do is plan in advance. Think long and hard about the most efficient ways to stay in touch, and then run your ideas by your coworkers. This will ensure that everyone is on the same page.

What steps do you take to stay in touch with coworkers (and others) when you are on the road? Is there anything that has worked well for you in the past? Is there anything that has failed you? Share your personal strategy in the comment section below. You never know when you will help another business traveler improve in this area.
